What Third-Party AI Platforms Actually Do With Your Data
This is the part most vendors do not put in the headline. Consumer AI platforms, the free and low-cost tools your employees are most likely to reach for, operate under terms that are often unfavorable to businesses handling sensitive information.

An AI policy does not need to be a 30-page document. It needs to answer a handful of practical questions clearly enough that any employee can make a reasonable decision without checking in every time.
Which AI tools are approved for use at work? This list should be explicit, not implied. If a tool is not on the list, it is not approved.
What categories of data are off limits for AI processing? Client information, financial records, personal data, and anything subject to confidentiality obligations should be named specifically.
How should AI-generated output be handled before it leaves the organization? Every AI output requires human review. The policy should be clear on who reviews what and what the standard is.
What is the process for requesting a new AI tool? Employees will always find tools you did not anticipate. The policy should give them a path to surface those tools rather than just using them in the background.
What happens when something goes wrong? If an employee realizes they have shared data they should not have, they need to know what to do next. Clarity here reduces the time between exposure and response.
According to Gartner's research on AI governance in small and midsized businesses, organizations with documented AI usage policies report significantly lower rates of unauthorized AI tool adoption and data exposure incidents than those without. The policy is not the whole answer, but it is the necessary starting point.

Getting AI right in your organization is a sequence, not a single decision. The sequence goes: policy first, permissions second, tools third.
Policy tells your team what is allowed and why. Permissions ensure your data environment is organized and access-controlled in a way that limits exposure even when things go wrong. Tools come last, chosen specifically because they fit within the policy and permissions framework you have established.
Most businesses do this in reverse. They see a tool, deploy it, and figure out governance afterward. That is why most businesses have an AI problem that looks like a technology problem but is actually a policy problem.
